Abatec are working on behalf of our client within the Facilities sector to recruit an experienced Executive Assistant to act as a trusted partner to the Managing Director of Operations to be their “go to” person, enabling focus on strategic priorities.
This role provides proactive, high-impact support through insight, organisation, and effective communication management, while maintaining visibility across key business activities to ensure alignment, pace, and accountability.
You will act as a trusted partner and key support to the Director, operating as an extension of leadership to enable focus on strategic priorities. Provide high-level, proactive support across operational, administrative, and business functions, ensuring effective coordination, communication, and execution of key activities.
Key Responsibilities
- Serve as the primary point of contact on behalf of the Director, managing internal and external communications with professionalism and discretion
- Proactively manage and prioritise the Director’s schedule, inbox, and commitments, ensuring alignment with business priorities
- Prepare briefings, reports, presentations, and correspondence to support informed decision-making
- Act as the Director’s “right hand,” maintaining oversight of key projects, tracking progress, and ensuring timely follow-up on actions
- Coordinate cross-functional activities, ensuring alignment, accountability, and delivery across teams
- Analyse data, reports, and business information to identify trends, inconsistencies, and opportunities, presenting clear and actionable insights
- Support operational planning and execution, contributing to continuous improvement and efficiency across the business
- Build and maintain strong relationships with stakeholders at all levels, representing the Director where appropriate
- Handle confidential and sensitive information with the highest level of discretion and professionalism
